01Overview

A hospitality staffing app that connects hotels needing short-term support with independent contractors looking for relevant, available work.

What we made, why it mattered, and how it came together.

Hire Direct connects hotels that need short-term staff with independent contractors looking for work. We designed both sides of the experience so a job stays clear from the first application to the final review.

Schedules, room assignments, tasks, photos, and messages all live with the same job. That gives everyone a shared view of what needs to happen and what has already been done.

Shared

Job details

Hotels and contractors see the same schedule, location, and task information.

Clear

Room tasks

Large jobs can be broken into rooms and simple, reviewable tasks.

Linked

Photos and messages

Updates stay connected to the job they are about.

Complete

Work history

Finished jobs remain easy to find and review later.

02The challenge

A quick match still leaves a lot of work to coordinate.

Hotels need to share the right time, place, tasks, and expectations. Contractors need to understand those details before they accept the work.

We had to keep both sides in sync without making them jump between separate tools, long message threads, and spreadsheets.

What we had to balance

01

Fast applications and complete job details

02

Hotel oversight and contractor independence

03

Flexible schedules and clear status

04

Conversation and proof of work

Our approach

Keep everything connected to the job.

Every application, schedule, room, task, photo, and message belongs to one job record. Users can move through the work without losing the context they started with.

Each role gets a different home screen, but both sides use the same status language and job details.

  • Keep context through every step
  • Show who is responsible
  • Make the next action obvious
  • Keep photos beside the task
01

Hotel teams

Post work, review applicants, arrange shifts, and check completed tasks.

02

Contractors

Find suitable work, manage a schedule, complete tasks, and build a work history.

03

Supervisors

Follow progress during a shift and help when something changes.

03How it works

The experience, step by step.

  1. 01

    Find a job

Browse available work with the main details visible from the start.

  2. 02

    Review the details

Check the role, location, time, rate, and expectations.

  3. 03

    Apply

Send an application that stays connected to the job.

  4. 04

    Plan the shift

See confirmed dates, rooms, and assigned work.

  5. 05

    Complete tasks

Work through clear room-level instructions and updates.

  6. 06

    Share progress

Add photos or notes where the hotel can review them.

  7. 07

    Close the job

Review the result and keep a record of completed work.

04Product structure

How the different parts work together.

Each feature supports the wider experience instead of standing on its own.

01

Job discovery

Simple job cards show enough detail to decide whether an opportunity is relevant.

  • Role
  • Location
  • Schedule
  • Application status
02

Job workspace

A confirmed booking brings the people, schedule, instructions, and status together.

  • Job status
  • People
  • Location
  • Instructions
03

Rooms and tasks

Hotels can turn a large shift into smaller pieces of work that are easier to follow.

  • Rooms
  • Time windows
  • Task lists
  • Completion
04

Photos and chat

Photos, notes, and messages stay close to the work they explain.

  • Task photos
  • Review notes
  • Job chat
  • Participant details

Key decisions

What we chose and why.

01

One shared job

DecisionUse the same job record for both hotels and contractors.

ReasonIt reduces conflicting details and gives everyone the same point of reference.

02

Tasks by room

DecisionShow progress around the rooms and tasks people actually work on.

ReasonConcrete work is easier to understand than a vague overall percentage.

03

Photos beside the task

DecisionAttach each submission to the task it supports.

ReasonReviewers can understand the update without searching through a separate gallery.

05Design craft

How the details support the experience.

01

Information

Busy work with a calm layout

The screen separates the role, time, status, and next action so important details are easy to scan.

  • Clear status
  • Simple cards
  • Grouped tasks
  • Visible names
02

Interaction

Show detail when it is needed

Users begin with a job summary and open a room or task when they are ready to act.

  • Easy drill-down
  • Simple completion
  • Reviewable updates
  • Clear return path
03

Communication

Messages keep their context

The related job and people remain visible while a conversation is open.

  • Job-linked chat
  • Translation support
  • Readable times
  • Useful empty states
BuildBehind the build

How the product works behind the scenes.

01

Structure

A shared model for the whole job

The product is built around reusable records for jobs, people, rooms, tasks, messages, and submissions.

  • Role-based views
  • Clear status changes
  • Shared records
  • Work history
CareReliability

The details that keep the experience dependable.

01

Reliability

Real jobs do not always go to plan

The design includes rescheduling, missing photos, partly finished rooms, and unanswered messages.

  • Pending states
  • Review without deletion
  • Notes for exceptions
  • Clear ownership
07Outcome

A staffing app that stays useful after someone is hired.
